Free receipt maker: online receipts in under a minute
Paid in cash, by card, or by transfer and need proof on the spot? A receipt takes 60 seconds: switch the document type, fill two lines, download the PDF.
Receipt vs invoice vs proforma
An invoice says "you owe me". A receipt says "received, thank you". A proforma says "here is what it would cost". Invoice first to demand payment, receipt after the money lands as proof, proforma before any commitment exists.
| Document | Means | When | Has due date |
|---|---|---|---|
| Invoice | Payment owed | After delivery | Yes |
| Receipt | Payment received | After payment | No |
| Proforma | Estimate before commitment | Before order | No, valid until date |
What goes on a sales receipt
- Seller name and contact. Who received the money, reachable.
- Date and unique number. Receipts run their own series, e.g. REC-2026-0001, separate from invoices. Never reuse a number.
- Itemized lines. What was sold, quantity, amount. One generic line invites disputes at return time.
- Tax and total paid. Show the tax line separately where your jurisdiction requires it. The total reads Amount paid, not Total due.
- Payment method. Cash, card, transfer. On a receipt this field is required, since it is the only proof of how the money moved.
Three receipt examples
1. Retail sale
A bakery sells 20 sourdough loaves plus delivery. Lines show quantity and unit price, 10 percent tax below, total paid at the bottom, payment method Cash. This is the classic sales receipt: goods handed over, money in the till, paper in the customer hand.
2. Freelance deposit
A developer collects 50 percent before starting. The receipt states the project name, the deposit amount, and the remaining balance in the notes so both sides remember what comes next. The invoice for the balance follows on delivery.
3. Rent receipt
A landlord confirms a monthly payment. One line for the month and unit, payment method transfer, no due date. Tenants keep these in sequence for deposit disputes, so unbroken numbering matters more here than anywhere else.
Cash receipts need extra care
Card and transfer leave a bank trail. Cash leaves only your paper. Always state Cash as the method, hand over a copy on the spot, and keep your own sequence unbroken. If a cash receipt is lost, neither side can reconstruct it from a statement.
Three mistakes that void trust
- Reusing invoice numbers. Receipts need their own REC series. Sharing the INV series mixes owed and paid in one list.
- Leaving payment method blank. A receipt without a method proves an amount but not how it moved. Disputes love that gap.
- Keeping payment terms. Due within 14 days on a paid receipt contradicts itself. Paid papers carry no due date and no terms unless you add a return policy yourself.
Make a receipt step by step
- Open the generator and pick Receipt. Use Receipt for general proof, Sales receipt for goods, Cash receipt for cash. The form reshapes itself: no due date, payment method appears, status defaults to paid.
- Fill seller and customer. Your business name and contact up top, customer name below. For retail walk ins a name or even Walk in is enough, but a named receipt is stronger proof.
- Add item lines. One line per item or service with quantity and unit price. Tax per line if your goods mix rates, otherwise a single rate keeps it readable.
- Set the payment method. Write Cash, Card, or Transfer with the last detail that matters, such as Cash paid at counter or Transfer ref 8841. Never leave it blank.
- Download and hand over. PDF for print and email, PNG for chat apps, CSV for your books. Save the document so the REC number sticks in sequence.
Numbering and record keeping
Receipt numbers prove completeness. A gap in the REC series raises the one question you never want: which receipt is missing. Keep one running series per year, never reuse a number, and never edit an issued receipt. If you make an error, cancel it and issue the next number, noting which one it replaces. Store PDFs by number in one folder and export your data JSON monthly. Local first means your records live in your browser until you back them up, so make the backup a habit.
Receipts in every currency and language
The generator writes receipts in 9 languages with right to left support for Arabic and formats money per locale, so a Madrid invoice and a Berlin receipt each read natively. Currency, tax name, and tax rate follow your business settings, and the document language switch sits next to the customer block. Tourists get a receipt they can read, and your books stay consistent at home.
Which title should you use
Buyers say bill, sellers say invoice, everyone says receipt after payment. If money changed hands, title it Receipt so no one mistakes it for a new demand. If you are billing for goods at the counter, make it a bill with the same tool and the title follows. Freelancers splitting deposits from balances can invoice the deposit first, receipt it on arrival, then invoice the balance on delivery. Three papers, three titles, zero confusion about what is owed and what is paid.
